Checking in planned visitors

To give planned visitors access to your site to attend a planned visit event, you can use the planned visitor check-in option.

Before you begin

What you should know

There are two ways to check in planned visitors:
  • Using the visitor's name.
  • Using the visit event name.

Depending on how visitors arrive at the Front desk, you can perform a single check-in or a bulk check-in for a selection of visitors or all visitors for an event.

If your organization uses Security Center SaaS Premium, the system can automatically screen planned visitors during check-in to identify potential security matches. Security screening is only available for US accounts and only screens US people.
  • To activate the security screening option for planned visitors, visitor profile settings must be configured at the site level by the site owner.
  • When visitor screening is active, bulk actions cannot be performed. The check-in process occurs one visitor at a time.

The picture taken during visitor check-in is only stored in our Microsoft Azure storage and is not sent to third parties.

Procedure

  1. In Security Center SaaS, open the Front desk task.
  2. If a visitor presents themselves using their name, in the Visitors section, search for a visitor or select a visitor from the list.
    1. In the Visitor details side pane, select a check in method.
      • If you are not screening visitors, click Check in.
      • If you are screening visitors, click Start check in.
      Allow camera usage if your web browser prompts you to do so during visitor check-in.
    2. At the picture-taking step, instruct your visitor to stand in front of the camera for a front-facing photo.
    3. If security screening is enabled, review the Security screening section to determine if the visitor is a match:
      • If the person is a match: Verify that their name, date of birth (DOB), and photo match the flagged profile. Click Confirm match, click Confirm match again, and let the visitor know someone will be with them soon.
      • If the person is not a match: Click No match, and proceed to the next step.
    4. In the Check in visitors dialog, click Check in again to confirm your choice.
  3. If visitors present themselves using the visit event name, click View schedule.
    1. In the My schedule side pane, select a visit event from the list.
    2. In the Visitors section of the visit event details, use the Expected filter button to show visitors you can check in.
  4. If security screening is not enabled, check in your visitors using one of the following methods:
    • One visitor: Select the visitor and click Check in ().
    • Multiple visitors: Search for or select the visitors, click More (), and then click Check in ().
    • All visitors: Click Select all (), click More (), and then click Check in ().
    Then in the Check in visitors dialog, click Check in again to confirm your choice.
  5. If security screening is enabled, search for a visitor or select a visitor from the list.
    1. Click Start check-in () and follow the on-screen prompts to complete the required information.
      Allow camera usage if your web browser prompts you to do so during visitor check-in.
    2. At the picture-taking step, instruct your visitor to stand in front of the camera for a front-facing photo.
    3. Review the Security screening section to determine if the visitor is a match:
      • If the person is a match: Verify that their name, date of birth (DOB), and photo match the flagged profile. Click Confirm match, click Confirm match again, and let the visitor know someone will be with them soon.
      • If the person is not a match: Click No match, then review the information and click Confirm check-in if the information is accurate.

After you finish

If all other conditions have been met, you can issue a badge.
